Names

The name people see and the name on record

Compare the documented chosen-name displays with the official-name process, then ask a precise question about any system outside the list.

In this article

A chosen name can be the name that makes an everyday interaction feel accurate. A legal record has a different job. The important question is not which one is “real,” but which field a particular university process uses.

What the published display list actually says

The Registrar’s chosen-name page identifies the campus directory, university Zoom and Merit pages as chosen-name displays. It lists class rosters and Academic Works as displaying the chosen name alongside the legal name. This is a bounded list, not a promise about every campus application.

Its student instructions point to Student Homepage, Profile and the Preferred name row. They concern the chosen first name. If a system is absent from the list, the published route is its controlling department; the Registrar can help identify the right office.

The official-name guidance defines the name of record and directs students to the Change of Personal Information form. Current and former university employees are directed to their payroll reporter or Human Resources. This publication does not cover the employee process.

Start from the current official personal-information page, which links the university form. The live Registrar help page explicitly calls it the Change of Personal Information eForm. Follow that current route and its evidence requirements. We have not inspected the authenticated form. Do not send identity documents to this publication or assume ordinary email is an accepted submission channel.

An older PDF dated October 6, 2022 remains publicly available. Its paper submission instructions are not presented here as the current workflow; use the current page or ask the Registrar to confirm an alternative.

Do not promise a synchronization time you cannot verify

The reviewed public page does not provide a single completion time for all systems. Avoid advice such as “wait exactly 24 hours” unless the responsible office gives that instruction for the named destination. Also keep display name, email address and account identifier separate: a change to one label does not itself prove those other values changed.

For your own follow-up, note the type of field changed and the particular output still in question. Use the university’s approved channel for any evidence it requires. You do not need to duplicate identity documents across informal conversations to make a clear request.

A diploma has its own request conditions. Read the diploma-name case before assuming a profile save determines the printed name.
